Release Notes: Rounding options, user permissions, invoice review, write-down, and more

What's new in LeanLaw this month?

Rounding options

The default setting in LeanLaw rounds up time entries to the nearest tenth of an hour. However, some of our users live in areas where time clock laws state to round to the nearest quarter of an hour. We’re pleased to announce LeanLaw’s new quarter hour rounding option. With quarter hour rounding enabled, time entries will round up to the nearest quarter hour for billing purposes.

To enable quarter hour rounding

Click the settings cog in the top right corner of LeanLaw. This will bring you to the settings page for your firm. On the left hand side, find the link labeled Firm Info and click it. In Firm Info, underneath the line Default Time Entry Increment, you’ll see a green dot with the values .1 and .25 on either side of it. While the green dot is on the left side, you’ll be rounding to the nearest tenth of an hour. Press the green button to flip it to the right side and round up to the nearest quarter of an hour, and don't forget to save your changes! For a more in-depth guide, click here.

More User Permissions settings

Larger firms have been asking for more user permissions settings. We've listened, and now we have more user permissions available than ever.

What are user permissions? Let’s say you want to add an intern to your LeanLaw firm to help keep time entries, but they’re not quite ready to help with other tasks like creating or editing fixed fees. With user permissions settings, the firm’s administrators can control the information that each role is allowed to view, edit, or create within LeanLaw.

To set your User Permissions

Click the settings cog in the top right corner of LeanLaw. This will bring you to the settings page for your firm. On the left hand side, find the link labeled User Permissions and click it. Now that the User Permissions page is open, you’ll be able to see rows of categories like Time Entry and Fixed Fees. Click one of these categories, such as Fixed Fees, to open even more specific options. For an illustrated guide, click here.

Review added to invoice workflow

Many users already know that LeanLaw lets you add or subtract stages in your invoice workflow. By default, LeanLaw uses an invoice workflow that begins with Ready to Bill, which leads into Drafts, which can then send to a linked QuickBooks account. Users could already add an Approved stage, where invoices would wait after being revised or adjusted in the Drafts stage. However, some of our firms requested an additional stage--a “Review” stage where adjusted invoices could await administrative approval before being finalized. At long last, it’s here!

To add Review to your invoice workflow

Click the settings cog in the top right corner of LeanLaw. This will bring you to the settings page for your firm. On the left hand side, find the link labeled Billing (Workflow/Fees). In your billing settings, select the new feature labeled Draft, Review and Approve Steps, and don’t forget to save your settings at the bottom of the page! With this workflow enabled, your team has an extra staging area for reviewing invoices. Consider viewing our helpful guide on invoice workflows here.

What's next?

We have some exciting features being beta tested right now. Some firms are already using these features, but they should be available for all in the near future. Contact our support team if you’re interested in trying any of these beta features.

New Client and Matter UI

Previously, clients were created and managed from the Matters tab. Our new user interface (UI) introduces a Clients tab for client management. This new layout gives a summary of work in progress (WIP), a complete list of all financial transactions for the client, and more details in one convenient place. We hope this will put the information you want closer to your fingertips.

Write-down

We’re looking into adding more options for adjustments. This feature will focus on adding visibility to partial and complete write-downs on time entries in Billable Reports.
