Assigning Users to Matters in LeanLaw

How to assign and manage which team members have access to specific matters in LeanLaw, including bulk assignments and best practices for matter access control.

When a team member needs to track time, log expenses, or access a matter in LeanLaw, they must be assigned to it — unless their profile is set to 'Include on all matters.' This guide covers both individual and bulk assignment approaches.

📋 Quick context: Users with the 'Include on all matters' setting enabled automatically have access to every matter and don't need to be individually assigned. This is typical for Principals, Operators, and Accountants. Timekeepers are typically assigned matter-by-matter.

 

Assigning a User from the Matter

This is the most common approach when setting up a new matter or adding a team member to an existing one.

  1. Open the matter from the Matters tab.
  2. Navigate to the Users or Team tab inside the matter.
  3. Click Add User.
  4. Search for the user by name and select them.
  5. Optionally set a matter-specific rate for this user.
  6. Click Save. The user can now see and work on this matter.

Removing a User from a Matter

  1. Open the matter and navigate to the Billing and Rates tab.
  2. Find the user to remove.
  3. Click the (⋮) next to their name.
  4. Select Remove from Matter.
  5. Select Save Changes.

📋 Historical data preserved: Removing a user from a matter does not delete their past time entries or expenses. Only future access is removed — historical records remain intact for billing and reporting.
