Editing and Bulk-Editing Time Entries in LeanLaw

How to edit individual time entries and use bulk-editing tools in LeanLaw — including filters, export, and the billing stage restriction on editing.

LeanLaw makes it easy to review, edit, and manage time entries in bulk — whether you're correcting a description, adjusting hours, or preparing entries for invoicing.

⚠️ Editing restriction: Time entries can only be edited when they are in the WIP stage of invoicing OR from the Draft invoice editor. Once an entry has been included in an approved invoice, it is locked and cannot be edited directly. To make changes, undo the invoice back to drafts to make edits.

Editing a Single Time Entry

  1. Click Time Entries in the top navigation to open the Time Entries page.
  2. Use the filters on the top (Time Period, Timekeeper, Billed Status, Client, Matter) to locate the entry.
  3. Click the entry in the Time Display to open the Edit Entry panel on the right side of the screen. The selected entry is outlined in green.
  4. Make your changes in the edit panel.
  5. Click Save.

📋 Deleting an entry: To delete an entry, open it in the edit panel and click the trash can icon at the bottom. Deletion is permanent — entries cannot be recovered after deletion. Consider marking an entry as non-billable instead of deleting if you want to preserve the record.

 

Filtering the Time Entries View

Use the Filter Options panel on the left side of the Time Entries page to narrow your view before editing. Available filters:

Filter

What It Does

Time Period

Set a date range. Defaults to the current month.

Timekeeper

Filter to a specific user's entries. Principals and Operators can view all timekeepers.

Billed Status

Filter by Ready to Bill, Drafted, Approved, or Billed. Use 'Ready to Bill' to find editable entries.

Client

Narrow to a specific client.

Matter

Narrow to a specific matter within the selected client.

LEDES Codes

If LEDES is enabled, filter by activity or task code.

Filters update the Time Display automatically as you make selections. Changes to filters are not saved — they reset when you navigate away.

 

Bulk Entry Mode

LeanLaw's Time Entries page is optimized for entering multiple entries in sequence — this is the 'bulk entry' workflow. After saving an entry using Save and New, the client, matter, timekeeper, and date fields remain pre-filled so you can immediately enter the next description and hours. This makes it efficient to log a full day's work at once.

To use bulk entry:

  1. Open the Time Entries page and click Create Entry.
  2. Fill in the client, matter, timekeeper, and date.
  3. Enter the description and hours for the first entry.
  4. Click Save and New. The fields persist — enter the next description and hours immediately.
  5. Repeat for all entries. Change the client, matter, or date only when needed.

 

Showing Start/Stop Times & Internal Notes

Two display options on the Time Entries page can be toggled per session:

  • Start/Stop Times: Toggle the radio button to show or hide start and end times in the Time Display. Must be enabled before printing if you want start/stop times on printed output.
  • Show Internal Notes: Toggle to display an internal notes field on each entry. Internal notes are visible only to your firm and do not appear on client invoices.

 

Exporting and Printing Time Entries

From the Time Entries page, use the buttons in the top right corner:

  • Print: Creates a paper copy or saves as a PDF. Start/stop times must be toggled visible before printing if needed.
  • Export: Downloads the filtered Time Display as a CSV/Excel file. Useful for external reporting or sharing with clients.

The Export and Print functions respect your current filter selections — narrow your filters first to export only the data you need.

 

Classic View vs. Insight View

View

What It Shows

Classic View

Time entries and summaries in a table format. Includes the Export button for CSV download. Default view for most editing and review tasks.

Insight View

A bar graph visualizing total hours worked, number of entries, and matters worked for the selected filter period. Use for a quick productivity snapshot — not for editing individual entries.
