Filtering, Searching, and Exporting Expenses in LeanLaw
How to filter, search, sort, print, and export expenses in LeanLaw — including filtering by client, matter, billed status, expense type, and QuickBooks origin.
The Expenses page gives you a consolidated view of all expenses across your firm. Filters, search, and export tools make it easy to find what you need, review pre-billing expenses, and share expense data with clients or accountants.
Accessing the Expenses Page
Click Expenses in the top navigation bar. The page displays all expenses in a list layout, with filter options on the left and the expense list on the right.
Available Filters
Use the filter panel on the left side to narrow the expense list. Filters update the list automatically as you make selections.

Filter by the user who created or is assigned to the expense. |

Filter by expense category (maps to QuickBooks Online expense categories). |

Show Billed |
Toggle to include or exclude expenses that have already been invoiced. |

💡 Tip: Set Billed Status to 'Ready to Bill' before a billing run to see only the expenses staged for the next invoice. This is the fastest way to confirm everything is captured before generating invoices. |
Searching Expenses
Use the search bar above the expense list to search by keyword. The search checks:
- Expense description text
- Client name
- Matter name
Search and filters work together — apply filters first to narrow the scope, then search within the filtered results.
Identifying QuickBooks-Originated Expenses
Expenses that were created in QuickBooks Online and synced to LeanLaw are marked with a green dot next to the expense in the list. To view the original QuickBooks Online transaction:
- Find the QuickBooks Online originated expense (green dot).
- Click the three vertical dots (⋮) on the right side of the row.
- Select the option to view in QuickBooks. (If this option is not available, the expense has not been submitted through QuickBooks.)
Sorting the Expense List
Click any column header in the expense list to sort by that column. Click again to reverse the sort order. Useful sort options include date (most recent first) and amount (largest first) for pre-billing review.
Printing and Exporting Expenses
Use the buttons in the top right corner of the Expenses page:
- Print: Creates a printable view of the current filtered list. Can be saved as a PDF. Useful for sharing expense detail with clients or adding to a file.
- Export: Downloads the current filtered list as a CSV file. Opens in Excel or any spreadsheet application. Useful for accountants or external reporting.
