Attachments on Invoice Emails in LeanLaw
How attachments are included on invoice emails in LeanLaw — including expense receipt attachments, LEDES file attachments, and managing which clients receive attachments.
LeanLaw invoice emails can include attachments beyond the invoice PDF itself — such as expense receipts, LEDES billing files, and Excel detail sheets. This article covers how each attachment type works and how to manage them.
The Invoice PDF Attachment
Every invoice emailed through LeanLaw's email service includes the invoice PDF as an attachment by default. This is the branded LeanLaw invoice (using your configured template) sent directly to the client's inbox.
|
📋 Invoice PDF vs. QuickBooks Online invoice: The PDF attached to LeanLaw emails is your LeanLaw-branded invoice template — not the QuickBooks-formatted invoice. Clients receive the LeanLaw PDF. Your accountant can view the QuickBooks Online version in QuickBooks Online. |
Expense Receipt Attachments (Pro & Elite)
LeanLaw Pro and Elite subscribers can attach expense receipts to invoice emails. When receipts are attached to expenses, they automatically travel with the invoice to the client.
How Expense Attachments Work
- Soft costs (created in LeanLaw): Add attachments directly to the expense in LeanLaw from the Expenses tab. Use the attachments field when creating or editing the expense.
- Hard costs (synced from QuickBooks): Add the receipt as an attachment to the expense in QuickBooks Online. When the expense syncs to LeanLaw, the attachment syncs too. Review and manage synced attachments in LeanLaw from the Expenses tab.
|
⚠️ Multi-line expense limitation: Attachments on multi-line expenses in QBO won't sync to LeanLaw. Add attachments after the expense has synced into LeanLaw as a single-line item. |
Controlling Which Clients Receive Expense Attachments
You can choose to send expense attachments to all clients or only selected clients:
- Go to Settings and find the Expense Attachments or Email Settings section.
- To send to all clients: enable the global attachment toggle.
- To send to specific clients only: go to the Clients tab, find the client, and enable attachments for that client specifically.
- Save changes.
|
📋 Client notification: When expense attachments are enabled, clients receive a link to download their expense attachments included in the invoice email. Attachments are delivered as a ZIP file. |
LEDES File Attachments
For clients using LEDES e-billing, the LEDES file can be automatically attached to the invoice email when the invoice is submitted to QuickBooks:
- When an invoice is synced to QBO with LEDES enabled on the matter, the LEDES file is automatically attached.
- From Manage Invoices, you can also manually download a LEDES file (Deliver → LEDES) and attach it to an email manually if needed.
- If both a LEDES file and expense attachments exist, use the LEDES & Expenses button to download them together.

📋 LEDES availability: LEDES billing options are available for Pro and Elite subscription tiers only. |
