Configuring LEDES E-Billing for a Client in LeanLaw
How to enable and configure LEDES e-billing for a specific client in LeanLaw — including format selection, required codes, Client Matter IDs, invoice description overrides, and timekeeper classification codes.
Once LEDES is enabled firm-wide, you configure it separately for each client that requires e-billing. Client-level settings control the LEDES format, required codes, client-specific IDs, and how invoices are labeled in the LEDES file.

Enabling LEDES for a Client
- Go to the Clients tab and open the client record.
- Navigate to the LEDES tab within the client settings.
- Toggle LEDES on for this client.
- Configure the client-specific settings (see below).

Client-Level LEDES Configuration Fields

Select 98b or 2000 — whichever this client's billing system requires. This overrides any firm default if your firm serves clients using different formats. |

Required Activity Codes |
Mark activity codes as required for this client. When required, timekeepers cannot save a time entry on this client's matters without selecting an activity code. Enforces compliance with the client's billing guidelines. |

Required Task Codes |
Same as activity codes but for task codes. Enable if the client's billing system rejects entries without task codes. |

Default Invoice Description |
Overrides the firm-wide invoice description label for this client's LEDES files. Leave blank to use the firm default. |

LEDES Client Matter ID |
The client-matter identifier provided by the corporate client — this value appears in the CLIENT_MATTER_ID column of the LEDES file. Your client's billing team will provide this value. |

LEDES Law Firm Matter ID |
By default, this uses the matter reference from LeanLaw (or the matter name if no reference exists). You can override it with a custom value if the client requires a different identifier. |
Timekeeper Classification Codes (LOC Codes)
Some corporate clients require LOC (Level of Counsel) Revised Timekeeper Classification Codes in LEDES files — these classify each timekeeper's role (e.g., Partner, Associate, Paralegal). If required:
- Find LOC Revised Timekeeper Classification Codes at LEDES.org.
- In the client's LEDES settings, enable LOC codes.
- Assign the appropriate LOC code to each user who will bill time to this client. This is done in Settings → Users → select user → assign LEDES timekeeper classification.

💡 Tip: Set up LOC codes before billing the first LEDES invoice for a client. A LEDES file with missing timekeeper classifications will be rejected by most corporate e-billing systems. |
