Connect Smokeball to LeanLaw Using Zapier

Reduce double entry from Smokeball by automatically creating clients and matters in LeanLaw when new contacts and matters are added in Smokeball — no manual data entry required.

Overview

Using Zapier, you can connect Smokeball and LeanLaw so that new contacts and matters in Smokeball automatically create the corresponding client and matter records in LeanLaw. This eliminates duplicate data entry between your case management and billing systems.

Beta Notice: The LeanLaw Zapier app is currently in beta and is not fully supported by the LeanLaw support team. We welcome your feedback at support@myleanlaw.com as we continue to expand functionality ahead of a full release. Known limitations include dynamically assigning clients and matters to newly created time entries, depending on how the Zap is configured.

What You'll Need

  • A LeanLaw account with API access

  • A Smokeball account

  • A Zapier account (free or paid)

How It Works

Zapier connects Smokeball and LeanLaw using a simple "trigger and action" workflow called a Zap. When something happens in Smokeball (the trigger), Zapier automatically performs an action in LeanLaw.

Smokeball also supports other Zapier triggers, including New Lead, Contact Updated, New Memo, New Task, New Fee, and New Expense**, but the most common LeanLaw workflows are creating clients from contacts and creating matters from matters.

Getting Started

  1. Log in to Zapier and click Create a Zap

  2. Set the trigger: Search for Smokeball, select it, and choose the trigger (e.g., New Contact or New Matter)

  3. Connect your Smokeball account, then test the trigger.

  4. Set the action: Search for LeanLaw, select it, and choose the corresponding action (e.g., Create Client or Create Matter)

  5. Connect your LeanLaw account using your API key

  6. Map the fields from Smokeball to LeanLaw (see tips below)

  7. Test the Zap and turn it on

Field Mapping Tips

Smokeball Contact → LeanLaw Client

  • Map the Smokeball contact Name fields to the LeanLaw client Name

  • Smokeball refers to people and organizations as "Contacts" — these map to LeanLaw clients

Smokeball Project → LeanLaw Matter

  • Map the Smokeball matter Name to the LeanLaw matter Name

  • LeanLaw requires a Client, Responsible User, and Matter Type (Hourly, Flat, or Contingency) — use LeanLaw's built-in dropdown pickers to select these

  • You can use a Find Contact search step in Smokeball or a lookup step in LeanLaw to link the matter's contact to the correct LeanLaw client
