Navigating the LeanLaw Billing Hub: Filters, Tabs, and Batch Tools

How to navigate LeanLaw's Billing section — using tabs, filters, and batch delivery tools to manage invoices across every stage of the billing workflow.

The Billing section is the central hub for all invoice activity in LeanLaw. Understanding how it's organized — and how to use its filters and batch tools — makes monthly billing significantly faster.

 

Billing Section Tabs

The Billing section is organized into tabs that correspond to your workflow stages:

Tab

What's Here

Ready to Bill

All unbilled time entries, expenses, and fixed fees waiting to be staged into drafts. Starting point for every billing cycle.

Drafts

Invoice drafts that have been created but not yet approved or submitted to QBO. Editable.

Review

Invoices awaiting review (visible only if the Review stage is enabled in your workflow).

Approved

Invoices that have been approved and locked. Ready to submit to QuickBooks.

Manage Invoices

All invoices that have been submitted to QuickBooks — organized by delivery status. Where you email, print, and track invoices.

 

Filters in the Ready to Bill Tab

The Ready to Bill tab's left-side filters control what appears in the billing queue:

Time Period

Limit the queue to work within a specific date range. Set this before every billing run.

Client / Matter

Focus on a specific client or matter.

Responsible Attorney

Stage invoices for a specific partner's matters only.

Show Only Contingency Matters

Isolate contingency matters from the main queue.

 

Filters in the Manage Invoices Tab

The Manage Invoices tab has its own set of filters for post-QBO invoice management:

Use It To

Delivery

Filter by delivery status: Ready to Email, Ready to Print, Delivered, or All. Use this to organize your delivery run.

Date Range

Show invoices from a specific date range.

Client

Filter to a specific client's invoices.

Status

Filter by payment status: Open, Overdue, Paid, or All.

 

💡 Monthly delivery workflow: At the end of a billing cycle, set the Delivery filter to 'Ready to Email', select all, and batch email. Then switch to 'Ready to Print', select all, and generate a Combined PDF for mailing. This two-pass approach ensures every invoice is delivered without duplicates.

 

Batch Tools in Manage Invoices

Select multiple invoices using their checkboxes, then use the batch action menu:

What It Does

Email

Sends selected invoices via LeanLaw's email system. Preview available for single invoices; not available when batch-sending multiple.

Combined PDF

Generates a single PDF file containing all selected invoices plus a cover page summary. Best for printing and mailing.

ZIP of PDFs

Creates a ZIP file with individual PDFs for each invoice plus a summary page. Useful for external systems that need separate invoice files.

LEDES Export

Generates a LEDES-formatted text file for e-billing clients. Available on Pro and Elite tiers.

 

Sorting and Searching Invoices

In Manage Invoices, click any column header to sort the invoice list. The Number column sorted descending is particularly useful for verifying sequential invoice numbering before a billing run. Use the search bar to find a specific client or invoice number quickly.
