Creating and Using Fixed Fee Templates in LeanLaw
How to create and use shared fixed fee templates in LeanLaw — including template fields, applying templates to matters, and managing the firm's template library in Settings.
Fixed fee templates let you save pre-configured charges — amount, description, hourly limit, invoice user, and revenue allocation — so you can apply them to matters in seconds. Templates are shared across your firm and ensure consistent fee descriptions and amounts for standard services.

📋 Firm-wide scope: Fixed fee templates are available to all users who can add fixed fees to matters. Avoid saving client-specific information in templates — they are meant for standardized, reusable fee structures. |
Creating a Fixed Fee Template
Templates are created in Settings, not from within an individual matter.
- Click the gear icon ⚙️ to open Settings.
- Navigate to Team Settings → Fixed Fee Templates.
- Click Add Fixed Fee Template.
- Fill in the template fields (see reference table below).
- Click Create Fixed Fee to save the template. It is immediately available firm-wide.

The default flat fee amount. Can be overridden when applying the template to a matter. |

The default client-facing description. Should be generic enough to apply across matters. |

Internal name for the template (e.g., 'LLC Formation — Standard'). This is what users see in the template dropdown. Not shown on invoices. |

Hourly Limit |
Optional. Pre-sets the maximum hours included in the flat fee. |

Limit Rate |
Optional. Pre-sets the overage hourly rate if the Hourly Limit is exceeded. |

Invoice User |
Optional. Pre-sets the team member credited for this fee. Can be overridden at the matter level. |

Revenue Allocation |
Optional. Pre-sets a default revenue split between users. Can be adjusted per matter. |

💡 Label tip: Use clear, specific labels so timekeepers can identify templates quickly from the dropdown — especially when your firm has many templates. Include the service type and any relevant context, e.g., 'Estate Plan — Will & Trust Package' vs. 'Estate Plan — Trust Only'. |
Applying a Template to a Matter
- Open the matter from the Matters tab.
- Go to the Fixed Fees tab.
- Click Add a Fixed Fee.
- Click the Fixed Fee Template dropdown.
- Select the appropriate template. The form pre-populates with the template's values.
- Review and adjust any fields as needed for this specific matter (amount, date, invoice user).
- Click Create Fixed Fee to save the charge on this matter.

📋 Note: Applying a template creates a new charge on the matter — it does not link the charge to the template permanently. Editing the template later will not change existing charges that were created from it. |
Managing the Template Library
All fixed fee templates are managed in Settings → Team Settings → Fixed Fee Templates. From there you can:
- View all firm-wide templates
- Edit a template's fields (changes apply to future uses only — not retroactively to existing charges)
- Delete templates that are no longer needed

⚠️ Deleting templates: Deleting a template removes it from the dropdown for future use but does not affect any existing fixed fee charges that were created from it. Existing matter charges are not linked to the template. |
