Importing Clients and Matters from QuickBooks Online into LeanLaw
How to import existing clients and matters from QuickBooks Online into LeanLaw — the fastest way to set up LeanLaw when your clients are already in QuickBooks Online.
If your firm's clients are already set up as customers in QuickBooks Online, you can import them directly into LeanLaw rather than entering them manually. This ensures the LeanLaw client records are linked to the correct QuickBooks Online customers from day one.
When to Use This Path
- New LeanLaw setup: Your firm already has clients in QuickBooks Online and you're configuring LeanLaw for the first time.
- Adding an existing QuickBooks Online client: A new client in LeanLaw already exists as a QuickBooks Online customer — import to link correctly rather than creating a duplicate QuickBooks Online record.
- Migration from another billing platform: Your previous billing system synced clients to QuickBooks Online — import those existing QuickBooks Online records into LeanLaw.
Importing Clients and Matters
- Connect LeanLaw to QuickBooks Online (Settings → QuickBooks).
- Access the import interface (Clients tab or QuickBooks Online Integration settings — navigate TBC, see QuickBooks Online Integration Article 4).
- Select the QuickBooks Online customers to import.
- Optionally select QuickBooks Online sub-customers to import as matters.
- LeanLaw creates the client/matter records and links them to QuickBooks Online .

⚠️ Never create a new LeanLaw client for a QuickBooks Online customer you're importing: Always use the import path. Creating a new client in LeanLaw for a customer that already exists in QuickBooks Online may create a second QuickBooks Online customer and leave you with duplicates if the "Create Clients and Matters right away in QuickBooks Online" setting is enabled. |
