Customizing Invoice Emails Per Invoice in LeanLaw
How to customize the email content for individual invoices in LeanLaw — including recipient addresses, subject line, body text, dynamic keywords, and payment link selection.
LeanLaw's email delivery pop-up lets you customize the email for each individual invoice before sending — overriding the firm's default email settings for that specific delivery. This is useful for adding a personal note, adjusting recipient addresses, or selecting a specific payment link type.

📋 Default vs. per-invoice: Your firm's default email subject, body, and sender are configured in Settings → Email Settings. What you customize here overrides those defaults for this invoice only — it doesn't change your firm's defaults. |
Opening the Per-Invoice Email Editor
- Go to Billing → Manage Invoices.
- Find the invoice you want to send.
- Click the Email button next to it (or three-dot menu → Email).
- The email delivery pop-up opens, pre-filled with your firm's default email settings.

Using Dynamic Keywords in Subject and Body
LeanLaw supports dynamic keywords that auto-populate with invoice-specific data when the email is sent. Insert these in the subject line or body to personalize emails automatically:

💡 Example subject line: 'Invoice #{invoice_number} from {firm_name} — Due {due_date}' becomes 'Invoice #1042 from Smith & Associates — Due June 15, 2025' automatically. |
Payment Link Options
If your firm uses Confido Legal for electronic payments, two payment link types are available in the email delivery pop-up:
- Invoice Payment Link: Clients pay the invoice total. They have the option to pay less than the full amount — useful for payment plans or partial payments.
- Full Balance Link: Clients pay their entire QuickBooks account balance (all outstanding invoices). They cannot pay less. Available only when the client's QuickBooks Online balance exceeds the current invoice amount.

📋 Note: If the client has no outstanding balance beyond the current invoice, the Full Balance Link defaults to the Invoice Payment Link automatically. |
Batch Emails Cannot Be Customized Per Invoice
When batch-sending multiple invoices at once, the per-invoice customization pop-up is bypassed — recipient addresses and content are not editable in batch mode. If you need to customize an individual invoice email, send it separately before running the batch.
