Microsoft 365 Calendar Integration in LeanLaw
How to set up LeanLaw's Microsoft 365 calendar integration — including enabling the M365 connection, converting calendar events to time entries, and IT admin consent for organization-wide access.
LeanLaw's Microsoft 365 integration lets you see your M365 calendar events directly in LeanLaw and convert them into time entries with a click. This is particularly useful for attorneys who schedule client calls and meetings in Outlook — they can bill directly from their calendar rather than re-entering the same information in LeanLaw.
Prerequisites
- Microsoft 365 account: A valid M365 account tied to a Microsoft Entra ID (formerly Azure Active Directory).
- LeanLaw features enabled: The M365 calendar integration must be enabled for your LeanLaw account. Contact your LeanLaw administrator or LeanLaw Support if you don't see the M365 toggle.
Enabling M365 Calendar for Individual Users
- Log in to LeanLaw.
- Go to the Time Entry page.
- Find the Microsoft 365 Calendar toggle and enable it.
- If prompted, sign in to your Microsoft account and consent to LeanLaw accessing your calendar data. This is a one-time consent step.
- Click the calendar icon in the left-hand navigation panel. Your M365 calendar events now appear in LeanLaw.
Converting Calendar Events to Time Entries
Once your M365 calendar is visible in LeanLaw:
- Browse to the date containing the event you want to bill.
- Click the Add button next to the calendar event.
- A new time entry form opens pre-populated with the event's subject, date, and duration.
- Select the client and matter, review or adjust the description and hours, and save.
|
💡 Tip: Calendar events that span less than 6 minutes will round up to your firm's minimum time increment. Adjust the hours in the entry form if the default rounding doesn't reflect your intended billing amount. |
IT Admin: Organization-Wide Consent
If your firm uses Microsoft Entra ID (Azure AD), an IT administrator can grant consent for the entire organization — eliminating the individual consent prompt for every user.
|
📋 Requirements: You must have Global Administrator permissions in Microsoft 365 to complete organization-wide consent. |
- Log in to LeanLaw using your administrator credentials.
- Navigate to the New Time Entry tab and enable the Microsoft 365 integration.
- When prompted, sign in using a Global Administrator Microsoft account.
- Review the permissions LeanLaw requests and check the box for 'Consent on behalf of your organization.'
- Click Accept to finalize.
After admin consent is granted, all users in your organization can access their M365 calendars in LeanLaw without a consent prompt. Verify the setup in Microsoft Entra ID: Enterprise Applications → LeanLaw App → Permissions.
Troubleshooting
- Calendar events not showing: Verify you're logged into LeanLaw with the same email address associated with your M365 account.
- Consent screen reappearing: If users are repeatedly prompted for consent, have your IT admin complete organization-wide consent using the steps above.
- Admin consent prompt when re-consenting: If Microsoft updates the required permissions, the admin may be prompted to re-consent once. This is normal.
