Connecting LeanLaw to NetDocuments
How to connect LeanLaw to NetDocuments for client and matter record sync — including prerequisites, the setup process, pre-activation reconciliation, and creating clients/matters linked to NetDocuments.
The LeanLaw + NetDocuments integration syncs client and matter records between the two systems — so when a new matter is opened in LeanLaw, it automatically creates the corresponding workspace in NetDocuments (and vice versa, depending on your configuration). This eliminates duplicate data entry across your billing and document management systems.
Prerequisites
- LeanLaw subscription: Pro or Elite tier required.
- NetDocuments account: An active NetDocuments account for your firm.
- Integration enabled: The NetDocuments integration must be activated for your firm by LeanLaw. Contact your LeanLaw account representative if it's not already enabled.
Setting Up the Integration
- In LeanLaw, go to Settings (gear icon ⚙️) and find the NetDocs integration option under Firm Settings or Integrations.
- Click to begin setup.
- Authenticate with NetDocuments — you'll be prompted to sign in to your NetDocuments account and approve permissions that allow LeanLaw to sync data securely.
- Select a Cabinet — choose the NetDocuments cabinet where matters will be created and synced.
- Choose the workspace template to use when creating new matters in NetDocuments from LeanLaw.
|
📋 Cabinet selection: Choose carefully — once the integration is active, new matters in LeanLaw will create workspaces in the selected cabinet. Contact LeanLaw Support if you need to change the cabinet after activation. |
Pre-Activation: Reconciling Existing Records
Before activating the integration, download a Client-Matter Report from LeanLaw to review existing records in both systems:
- From the NetDocuments integration setup, download the Client-Matter Report.
- Review which clients and matters exist in both LeanLaw and NetDocuments, which exist in only one system, and which have potential duplicates.
- Resolve any discrepancies before activating — merge or clean up duplicates as needed.
|
⚠️ Do this before activating: Activating the integration without reconciling first can create duplicate workspaces in NetDocuments for clients and matters that already exist there. The pre-activation review step significantly reduces cleanup work. |
Activating the Integration
- Once you've reviewed and reconciled existing records, click Activate Integration.
- LeanLaw will begin syncing client and matter data with NetDocuments.
- Going forward, new clients and matters created in LeanLaw will automatically generate the corresponding workspace in NetDocuments.
Creating Clients & Matters Linked to NetDocuments
After the integration is active, the standard client/matter creation workflow in LeanLaw includes NetDocuments workspace creation automatically. When you create a new matter in LeanLaw:
- LeanLaw creates the client record in LeanLaw.
- LeanLaw creates the corresponding NetDocuments workspace using the configured cabinet and template.
- The matter in LeanLaw is linked to the NetDocuments workspace — documents filed in the workspace are associated with the correct matter.

💡 Tip: If a matter already exists in NetDocuments but not in LeanLaw, create the LeanLaw matter and link it to the existing NetDocuments workspace during matter setup rather than letting LeanLaw create a new workspace. |
