Setting Up QuickBooks Class Tracking in LeanLaw

How to set up QuickBooks class tracking with LeanLaw — including enabling classes in QuickBooks Online, configuring LeanLaw to auto-assign classes to invoices by responsible attorney or timekeeper, and per-user class overrides.

QuickBooks class tracking lets you tag transactions with a 'class' and then run class-based reports — for example, a Profit & Loss by responsible attorney. LeanLaw can automatically assign classes to invoices it generates, saving manual data entry in QuickBooks Online.

 

📋 QuickBooks Online subscription required: Class tracking is only available on certain QuickBooks Online subscriptions. If you don't see the class tracking option in QBO's Company Settings, your plan may not support it — check with Intuit about upgrading.

 

Step 1: Enable Class Tracking in QuickBooks Online

  1. In QuickBooks Online, go to the gear icon → Account and Settings → Advanced tab.
  2. Under Categories, find Track classes and enable it.
  3. Choose your class assignment preference (see below)
  4. Save your QuickBooks Online settings.

Effect on Invoices

One class per transaction (entire invoice)

A single class is assigned to the whole invoice — useful when all work on an invoice belongs to one attorney.

One class per row (line item level)

Each line item on the invoice can have its own class — useful for invoices with multiple timekeepers, allowing per-timekeeper revenue breakdown.

 

Step 2: Configure Class Tracking in LeanLaw

  1. In LeanLaw, go to Settings → QuickBooks.
  2. Find the Set up Class Tracking button and click Set up.
  3. Check Use Class Tracking for Invoices to enable LeanLaw's automatic class assignment.
  4. Choose your class assignment method (see below)
  5. Optionally set a Class for Expenses — a fixed class assigned to all expense line items.
  6. Optionally enable Automatically create classes in QuickBooks for users as needed — LeanLaw creates a QuickBooks Online class for each user if one doesn't already exist.
  7. Save settings.

What LeanLaw Assigns

Responsible attorney (invoice level)

LeanLaw assigns the responsible attorney's name as the class for the entire invoice. Works with 'One class per transaction' in QuickBooks Online.

Track with responsible attorney for each matter (line item level)

LeanLaw assigns the responsible attorney as the class for each line item. Requires 'One class per row' in QuickBooks Online.

Timekeeper (line item level)

LeanLaw assigns the individual timekeeper's name as the class for each line item. Requires 'One class per row' in QuickBooks Online. If 'Track with responsible attorney for each matter' is off, this is the default for line items.

 

Step 3: Per-User Class Overrides

If a user's name doesn't match their QuickBooks Online class name (for example, their QuickBooks Online class was created with a different name format), you can map them manually:

  1. Go to Settings → Users and click the user's name.
  2. Find the Invoice Class field.
  3. Select or enter the correct QuickBooks Online class name to use for this user.

 

Verifying Class Assignments

After submitting an invoice to QuickBooks Online, open it in QuickBooks and verify that the correct class appears on the invoice or its line items. If no class appears, check that class tracking is enabled in both QuickBooks Online and LeanLaw, and that the user has a valid class mapping.
