Troubleshooting Fixed Fee Time Entries
If Fixed Fee time isn’t behaving as expected, these are the most common causes.
“I don’t see ‘Fixed Fee’ as a billing type”
Common reasons:
- You’re on an Internal matter, which may restrict billing types
- Your role or permissions limit your time entry options
What to try:
- Confirm the matter type and your permissions.
- If it still doesn’t appear, check with your billing admin.
“I logged time as Fixed Fee but it showed up unexpectedly on an invoice”
By default, many firms include Fixed Fee time details on invoices. Firms can choose to hide those details by selecting that option on the Invoice PDF template.
“I accidentally logged Fixed Fee work as billable”
To fix it:
- Edit the time entry.
- Change Billing Type from Billable to Fixed Fee.
- Select the appropriate Fixed Fee in the dropdown.
- Save.
If the entry has already been invoiced, you may need to adjust the invoice based on your firm’s billing workflow.
“I selected Fixed Fee, but the charge dropdown is empty”
The dropdown only lists fixed fees that can still take time. It’s empty when:
- The matter doesn’t have any fixed fees yet
- All of the matter’s fixed fees have already been billed or are Time Locked (Desktop Tracker)
The time can still be saved as Fixed Fee time. It just isn’t linked to a specific fee. You can link it later by editing the entry once the right fee exists.
“My Fixed Fee time entries show as unassigned”
This happens when an entry is saved as Fixed Fee time without a specific fee selected.
To fix an existing entry:
- Edit the time entry.
- In the Fixed Fee dropdown, select the appropriate fee.
- Save.
To prevent it:
- Before saving, check the Fixed Fee dropdown, especially in the Desktop Tracker.
- If it shows Select a Fixed Fee, choose the fee before you save.
Unassigned entries aren’t counted in a fee’s profitability, so review them before running prebills.
